Consolidate Your Travel Details and Enjoy a More Organized Trip

How to prepare for your holiday flight.

An organized approach to travel results in less stress, less wasted time and preparedness for dealing with the unexpected.  An important step toward getting organized for travel is consolidating your travel information: itineraries, confirmation codes, addresses, phone numbers, directions and maps.  Not having ready access to your travel information at any point during your journey can result in missed connections, delays and stress.  Before your next trip, consider this organized strategy for keeping your travel information organized and accessible.

Consolidate
Think about all of the components of your trip: flight, rental car, lodging, activities, etc.  Now think about the places where you have information related to these parts: email, hardcopy mail or sticky notes.  Start getting organized by locating and consolidating all of this information.  Look in your email inbox, mailbox, home or office inbox and notepad.

Contain
Before you choose a container, decide how you primarily want to access your information; hardcopy or digital?

  • Hardcopy – You can further consolidate a collection of travel papers by creating one document that contains all of the travel information.  You can organize and contain multiple pieces of paper in a 3-ring binder, resealable envelope or pocket folder.  Make sure the container you choose fits easily in your personal carry-on, purse, briefcase or coat pocket.
  • Digital – Your email inbox isn’t a good place to contain your travel information because it may not be easily accessible when you need it and searching through several trips’ worth of confirmation emails can be time consuming.  You can save or cut and paste emailed information into an electronic folder or a single document.  Store your electronic information directly onto your device and to cloud storage (Dropbox, Drive, Evernote, etc.).  You never know when your computer or mobile device might crash or not be able to connect to the internet.

Back-Up
Make your travel information available both in hardcopy and digitally as a form of backup.  Consider sharing your information with an assistant, friend or family member so he or she can serve as a backup as well.
