We’ve Got To Stop Meeting Like This

How can you or your staff be fully productive if you are spending that much of your work week simply planning for or participating in meetings?

Here are a few tips you might want to try to help make the meetings more effective the next time you are the organizer:

What Can You Do Before the Meeting?

Create an agenda! Make sure it has a clear purpose and pertinent discussion points. You can also send it out before the meeting to the people who will be in attendance then you’ll be able to gather valuable input before the meeting.

What Can You Do During the Meeting?

Always start and finish your meetings on time and stick to planned break times and durations as well. Consider standing during the meeting to help keep it short and ban cell phones and other small non-essential electronic devices to keep everyone focused. Keep different portions of the meeting timed and stay on task and on topic.

What Can You Do After the Meeting?

Consider adopting multiple meeting structures for example a short daily check-in and a weekly tactical meeting. Always be considerate of others when scheduling and planning.

Designing an office where everyone can do their best work takes time and planning. Many companies base their office design on layouts similar to ones they’ve seen in the past. However, creating new, balanced work spaces allows for the most opportunity to make them productive and organized for what your business requires.

The ideal office design balances spaces for quiet work with other areas suited for collaboration. As every organization is unique, what works for one company might not work for another. Keeping productivity at the forefront helps business create the perfect office environment.

Problems with Poorly Designed Office Spaces

Following popular office design fads is much like following fashion trends; sometimes it works out fine. However, it could lead to the work space equivalent of a leisure suit. Traditional offices used to feature managers behind closed doors and others workers in cubicles. Today’s popular open office trend features a collaborative layout, sometimes at the detriment of projects and workers that require uninterrupted concentration. 

Traditional and open office designs both have perks and drawbacks. Today, many companies have taken a hint from their grade school teachers by creating separate spaces for different activities. This is how organizations can achieve balance and boost productivity.

Different Spaces for Different Activities 

When you need to focus on a specific task, distractions can hinder your productivity. You probably wouldn’t want to try to focus on payroll while a rock concert played outside your office door. Whether your employees devote time to quiet, focused activities or creative, collaborative ones depends on the mission of your business.

The quality of the office environment also matters greatly when you need your employees to be as productive as possible. Even the most introverted people on your team will resent having their quiet work area located in a repurposed broom closet. Give each team member the quality space they need to get their job done.

Additionally, acoustics make a major difference — large, open spaces tend to carry even quiet voices, especially when paired with tiled flooring. Consider carpeting or at least decorative rugs in collaborative areas to reduce the din.

But you also need to optimize your space in order to make the most of it. Creating collaborative workspaces doesn’t necessarily mean investing in a huge conference room and a long table. Try varying the sizes of group work areas, so small teams and discussions can take place without distracting those coworkers focused on individual tasks.

How Movement Benefits Workers 

Creating a variety of workspaces that allow everyone gets up to move now and then provides a major productivity boost. Studies show that the average person maintains focus for approximately 15 minutes before seeking new stimulation. The good news is that even getting up and moving for a minute or two refreshes the brain’s ability to stay on task and be more productive.

Creating the Perfect Workspace Blend for Productivity 

Even though no single office design suits every organization, a blend of work areas for different activities balances an employee’s need for privacy and quiet at times with their need to collaborate at others. The best office design balances cost efficiency with employee satisfaction and aesthetic appeal. The more everyone’s needs are met in the workplace, the more quickly a company can increase productivity.

Have you thought about what disorganization is costing you in your work? Whether it is in time, money, or stress – it is more than you think.

Nancy is also someone who walks her own talk when it comes to making sure important documents, keepsakes, and treasures are organized during times of transition or loss. 

Nancy’s home was burglarized in late 2018 while she and her husband were speaking to 400 financial advisors about the value of Life Goes on Roadmap at a conference 3000 miles away from home.  That incident served as the catalyst for Nancy and her husband Steve to make the decision to sell their Bellevue, WA home and blaze a new trail in their new neighborhood of Bellingham, WA.  

Getting the house ready for the move was a big task.  In the final stages of preparing for the move, Nancy was starting to experience “project fatigue” in a big way. She called on the Organizers at Simply Placed for expert assistance to pack up family keepsakes and kitchen breakables.  In Nancy’s words:

If something is truly important, how will you make time for it?

You’ve probably heard the phrase “where there’s a will, there’s a way”, but sometimes it takes more than just a will, it takes a why. When there is something you want badly enough, or you’re motivated enough by a compelling reason, you’re more likely to find a way to make it happen. 

Perhaps you have a big work project, or you’re writing a book. Maybe you’re learning a new skill that will be valuable, or clearing a lot of physical or digital clutter. You might be pursuing a promotion, implementing a new strategic initiative at work, or planning a big event. Those are all great goals, but understanding WHY you want them will motivate you to carve the time out to do what it takes to make them happen. Your why could be for a sense of accomplishment, to generate revenue to support your family, or to travel, or because achieving the goal will boost self confidence, or because writing the book will help lots of other people, etc.. Find your why and you’ll more easily be motivated to find your way – making it a priority in the limited time you’ve got each day.

Choosing Your Why

When you need to overcome an obstacle on the way to your why, don’t just throw your hands up in the air and think it can’t be done. Make it a priority and invest in trying out some different things to make it happen. Choose it, choose you, choose your why. Sometimes that means saying no to other things. If done thoughtfully, saying no can be a beneficial time-saving strategy, both personally and professionally. Remember, every time we say yes to a request for our time, we are also saying no to anything else that we might have done with that time. Keep the trade-off in mind when prioritizing your why. 

Finding Your Way

  • Search for a way to make something more convenient. What things can you do to make your goal easier to achieve? For example, if you want to work out but are struggling to get to the gym every day, maybe it is easier to work out from home.
  • Build it into something else you need or want to do. We call this the best of both worlds! A practical example is how Debbie gets in some of her steps each day by committing to walk her neighbor’s dog 5 days a week.
  • Commit to a certain time each day and stick to that. Make it part of your daily routine. Don’t let other things get in your way.
  • Consider what you need to make it work for you, and then build that in to your life and schedule. What is that you need? A coach to guide you? Someone to hold you accountable? A recipe or program to follow? A reward to look forward to upon completion?

What’s Getting in Your Way?

Below, Debbie discusses an obstacle relating to making time for fitness in her daily schedule. She’s determined that exercise is instrumental to having the energy she wants for life, for herself, and to give of her best self to the other people in her life (her why). She had to search for an option to make exercise consistent and landed on an online workout program with a coach she could do at home and daily walks outside (her way). Perhaps you’ll find inspiration in her example and think about what might be getting in the way of your why and how to move past it. When something is important to you, learn to carve out time in your schedule for it. There’s always a way and time for what really matters.

Saturday, April 20: The City of Sammamish is holding a Styrofoam and Latex Paint collection event at Sunny Hills Elementary School between 9am and 3pm. They’ll also be selling rain barrels, compost and worm bins. Get more details here.

Upcoming FREE Shredding Events

Securely disposing of paper clutter and documents that are past their retention date can be a struggle.  If you have more paper than you can process through your personal shredder, here is information on some upcoming FREE shredding events:

  • Saturday, April 20: The Windermere Issaquah office is sponsoring a “Free and Easy” Shred event from 10am to 2pm. More details, including location, here.
  • Saturday, April 27 between 11am and 3pm, bring your items for shredding to Cascade Ridge Elementary, where old bills or sensitive documents will be professionally destroyed on site. This event is sponsored by Cathy Santiago with Windermere Real Estate and Laney Shorett with RPM Mortgage.

A recent trend in organizing is the Marie Kondo “Komari” method of keeping only what “sparks joy” in your life. While this is a great goal, it’s not realistic for everybody. We often hold onto things that have sentimental value to us but may not necessarily “spark joy”. How can we keep those things, or the memories attached, without allowing them to take over our lives and our spaces? There are also things we may keep because we need them for a particular purpose, even though they don’t “spark joy”. My plunger doesn’t necessarily spark joy, but I’m not going to let it go!

Store things in such a way so that everything has a home, like items are together, things are close to where they are used and the things used most often are the easiest to access. Establish habits around putting things away when they are not in use. Not everything may spark joy, but everything can be organized!
