How long does it take for you to get out of the house for work each morning? Do you know where to easily find your keys, that one coffee mug that fits just right in your car’s cup holder, and everything you need if you’re going to the gym during lunch? Is your laptop and everything you need for the day in a place you can easily grab it on your way out the door? 

Or do you ever have those mornings where you spend much too long trying to decide what to wear, have to spend time packing up your computer bag and workout clothes, then are running short on time to pack your lunch? That sounds like a stressful way to start a day, right? 

Those days happen. But what if you could utilize routines at home to make getting out of the house easier each workday. How would that help your productivity at work, if you arrived at your office already feeling less stress? 

Routines for a productive day

Here are six simple strategies to help you re-establish some routine in your life so that you can get more done, focus on your priorities AND have time for what matters most to you.

  1. Establish the habit of getting enough sleep each night.  Everyone needs a different amount of sleep to feel rested, rejuvenated and ready to be productive, but studies show that for most adults, between seven to nine hours is ideal. Try to go to bed and wake up at the same time each day – yes, even on the weekend. Follow a familiar bedtime routine, limiting “before bed” activities, especially screen time, to things that relax you and help you wind down. You’ll enjoy the benefits of more energy and when you are well-rested, you’ll be more productive the following day.
  2. Plan out your week.  Both at work and at home, end your week by reviewing what you accomplished and look ahead to the next week to see what the priorities will be. Make sure you have time allotted on your calendar for these priorities. Take time over the weekend to prepare. This will help you eliminate surprises and stress.
  3. Do what you can the night before.  Set the coffee pot on a timer so it is brewed when you come down for breakfast. Pack a healthy lunch. Pack up your gym bag the night before if you plan to work out.  Place any other items you need for activities or errands the next day right by the door. Lay out your clothing for the next morning. These evening efforts will make your morning less hectic and provide a smoother launch into the day.
  4. Prioritize your day.  Once you arrive at your office (or if you work from home, once your workday begins), immediately plan and prioritize your day. Alternatively, this can also be done at the end of the day so that you can and hit the ground running the next day. Focus on high-priority activities first.  Eliminate distractions (email, phone, etc.) for periods of time so that you can really dig in, uninterrupted and make great progress on those priority tasks and projects. You’ll feel very accomplished!
  5. De-clutter.  Take a few minutes at the end of each day to tidy your workspace or your home. Put items back where they belong so you can find them the next time they’re needed.
  6. Schedule appointments with yourself.  Block off time on your calendar to regularly de-clutter and organize. If you don’t schedule time to do this, it won’t happen. Make this a weekly habit. Likewise, block off and protect chunks of time on your calendar for high priority activities. If you know there’s something you want to get done in a given day, make an appointment with yourself and then honor that time. Seeing the appointment visibly can also make it easier to say “no” to something or someone else that might serve as a barrier to your productivity on the priority.

Are your routines making you more productive or are they slowing your day down? Set small goals to complete every day until they become productive, healthy habits. Soon these small tasks or goals will be second nature for you.

Prepare For Less Stress

Whether for business or pleasure, planning for a trip is a time consuming and sometimes stressful process. When productivity matters, anything you can do to get out of town in less time and with less stress and keep you organized while you’re away will make your travel much more enjoyable. Luckily, we have a plethora of resources for smooth sailing. 

There’s An App For That!

Online resources make coordinating the logistics of a trip easier than ever. With just a few clicks you can book flights, lodging, transportation and more. Mobile devices can also efficiently store your itinerary, electronic boarding passes, excursion tickets, make restaurant reservations, help you get around at your destination and more.

There are also resources like TripIt that you can use to build and share your complete itinerary with others. Heather Denniston at WellFitandFed also comments that she finds Airtable (which works like an Excel database, for creatives) to be an invaluable resource when organizing travel.  Jessica Butts, Live Your Life from the Front Seat, loves the VRBO and Home Away apps, because they keep all of your contact info in the app for easy travel.

Make a List, Check it Twice

Using a travel checklist is the best way to make sure you include everything you’ll need during your trip. Our friends at Magnus Media Group suggest maintaining different packing and preparation checklists for different purposes: business travel, beach vacation, ski trip, etc. You may want another checklist for travel essentials like electronics, batteries and charging cables. Knowing you’ve made it out the door with everything you need ensures smooth waters wherever you are headed. 

Checklists are also handy for things to remember before you leave home, too. You may want to include these things:

  • scheduling a mail hold
  • setting credit card travel alerts
  • signing up for an international cell plan if you’re traveling outside the country
  • arranging for someone to water plants, feed pets and set out/bring in trash cans and watch for packages
  • setting a thermostat and sprinkler system to “vacation mode”
  • alerting neighbors to keep an eye on your home

It’s also helpful to have a checklist of things to take care of at work before you travel. Make use of Out of Office Email and outgoing voice mail messages, leaving information for who to contact during your absence and when you’ll be returning. If you can, build a day into your schedule when you return that is low on commitments, allowing you time to catch up. 

Organizing your spaces or organizing your work can help you get out the door with less stress, too. That’s more than an average entire work day devoted to meetings every week! If you’re in management, did you realize you spend an average of 12 to 14 hours a week in meetings? 

We’ve Got To Stop Meeting Like This

How can you or your staff be fully productive if you are spending that much of your work week simply planning for or participating in meetings?

Here are a few tips you might want to try to help make the meetings more effective the next time you are the organizer:

What Can You Do Before the Meeting?

Create an agenda! Make sure it has a clear purpose and pertinent discussion points. You can also send it out before the meeting to the people who will be in attendance then you’ll be able to gather valuable input before the meeting.

What Can You Do During the Meeting?

Always start and finish your meetings on time and stick to planned break times and durations as well. Consider standing during the meeting to help keep it short and ban cell phones and other small non-essential electronic devices to keep everyone focused. Keep different portions of the meeting timed and stay on task and on topic.

What Can You Do After the Meeting?

Consider adopting multiple meeting structures for example a short daily check-in and a weekly tactical meeting. Always be considerate of others when scheduling and planning.

Designing an office where everyone can do their best work takes time and planning. Many companies base their office design on layouts similar to ones they’ve seen in the past. However, creating new, balanced work spaces allows for the most opportunity to make them productive and organized for what your business requires.

The ideal office design balances spaces for quiet work with other areas suited for collaboration. As every organization is unique, what works for one company might not work for another. Keeping productivity at the forefront helps business create the perfect office environment.

Problems with Poorly Designed Office Spaces

Following popular office design fads is much like following fashion trends; sometimes it works out fine. However, it could lead to the work space equivalent of a leisure suit. Traditional offices used to feature managers behind closed doors and others workers in cubicles. Today’s popular open office trend features a collaborative layout, sometimes at the detriment of projects and workers that require uninterrupted concentration. 

Traditional and open office designs both have perks and drawbacks. Today, many companies have taken a hint from their grade school teachers by creating separate spaces for different activities. This is how organizations can achieve balance and boost productivity.

Different Spaces for Different Activities 

When you need to focus on a specific task, distractions can hinder your productivity. You probably wouldn’t want to try to focus on payroll while a rock concert played outside your office door. Whether your employees devote time to quiet, focused activities or creative, collaborative ones depends on the mission of your business.

The quality of the office environment also matters greatly when you need your employees to be as productive as possible. Even the most introverted people on your team will resent having their quiet work area located in a repurposed broom closet. Give each team member the quality space they need to get their job done.

Additionally, acoustics make a major difference — large, open spaces tend to carry even quiet voices, especially when paired with tiled flooring. Consider carpeting or at least decorative rugs in collaborative areas to reduce the din.

But you also need to optimize your space in order to make the most of it. Creating collaborative workspaces doesn’t necessarily mean investing in a huge conference room and a long table. Try varying the sizes of group work areas, so small teams and discussions can take place without distracting those coworkers focused on individual tasks.

How Movement Benefits Workers 

Creating a variety of workspaces that allow everyone gets up to move now and then provides a major productivity boost. Studies show that the average person maintains focus for approximately 15 minutes before seeking new stimulation. The good news is that even getting up and moving for a minute or two refreshes the brain’s ability to stay on task and be more productive.

Creating the Perfect Workspace Blend for Productivity 

Even though no single office design suits every organization, a blend of work areas for different activities balances an employee’s need for privacy and quiet at times with their need to collaborate at others. The best office design balances cost efficiency with employee satisfaction and aesthetic appeal. The more everyone’s needs are met in the workplace, the more quickly a company can increase productivity.

Nancy Juetten is a busy professional and the co-founder of Life Goes on Roadmap™. , a system for personal financial information and document management that guides users to get their most crucial information organized BEFORE burglary, natural disaster, or any of the Big D’s – disease, disability, diminished mental capacity, divorce or death – can stop them.  

She had engaged Debbie Rosemont, Productivity Consultant with Simply Placed, to assist her in organizing her digital inbox and files so she could find important files for licensees and clients of her system.

Nancy’s home was burglarized in late 2018 while she and her husband were speaking to 400 financial advisors about the value of Life Goes on Roadmap at a conference 3000 miles away from home.  That incident served as the catalyst for Nancy and her husband Steve to make the decision to sell their Bellevue, WA home and blaze a new trail in their new neighborhood of Bellingham, WA.  

Getting the house ready for the move was a big task.  In the final stages of preparing for the move, Nancy was starting to experience “project fatigue” in a big way. She called on the Organizers at Simply Placed for expert assistance to pack up family keepsakes and kitchen breakables.  In Nancy’s words:

Many thanks to Lynette Apley, an awesome professional organizer from Simply Placed, for coming over today to pack up my kitchen. Many hands make much lighter work. We packed to the tunes of Aretha Franklin and got a lot accomplished. It was so smart to bring in the reinforcements. I can’t say ‘thank you’ enough.  We were weary of all the tasks associated with preparing our home for sale: selling it, buying the new house, and preparing, hosting, and completing the downsizing sale. Lynette  came to the rescue in perfect timing and actually made getting to the finish line a pleasure.
